----------------------------Original message---------------------------- July 24, 1997 Notes: Cataloging Discussion Group Meeting, New York, June 16, 1997 The ARLIS/NY Cataloging Discussion Group met at the Frick Art Reference Library, New York, on Monday, June 16, 1997 at 3:00 p.m. Fifteen individuals attended. Topics discussed during the meeting included MARBI news, ArtNACO participation, use of the AAT, and the cataloging of extra-illustrated books. Following the discussion, there was a tour of the Library. In June the ARLIS/NA representative to MARBI (Machine-Readable Bibliographic Information Committee), posted a "request for comments on MARBI proposals" to ARLIS-L. She called attention to proposals 97-3R, 97-10, 97-11 and Discussion Papers 101 and 102. Some discussion followed. Regarding DP 102, Treatment of non-filing characters in the 246 field, the CDG commented on the desirabliliy of full title display, including articles and other non-filing characters. It is especially important for rare book cataloging, Maria Oldal pointed out, and for titles in foreign languages, according to Victoria Bohm. Dan Fermon asked if the MARBI meetings at the ALA conferences are open to anyone interested. The answer is yes. During the MARBI advisory meetings six ALA voting members and a number of official representatives of special interest groups--including the ARLIS/NA representative--discuss proposals and papers while seated around a table. Nearby is the participating audience formed of others interested in the discussions. An informal poll of the CDG showed that almost all present were either currently contributing Name Authority records to NACO or to ArtNACO, or hoped to be doing so soon. Deborah Kempe asked if any libraries represented among the group added all of their new headings to the NAF. From answers given, it appeared that contributions to the NAF were selective rather than inclusive. Carol Pardo asked what happens when two libraries contribute the same heading at the same time. Sherman Clarke, the ArtNACO Coordinator, answered that the first record entered was the one that was accepted. He said, in response to a question about changing or editing existing NAF headings, that changes to headings contributed by the British Library, ESTC or by Canadian contributors, were not allowed. Certain changes to other records are allowable however, such as the correction of an incorrect birth date, or changes to resolve conflicts as when two identical names are differentiated. If LC records are changed, the NACO coordinator should be notified so that bibliographic file maintenance can be requested. He added that it was always possible for ArtNACO or NACO participants to add 670 references with additional information, such as an artist's death date, which did not warrant heading changes. More discussion on NAF contributions and on use of the AAT on the web followed. Extra-illustrated books were defined as those books which have additional material, relating to the book in some way, glued or fastened into them after publication. Photographs, and a ticket to a performance pasted into a book were given as examples. The group discussed various possible ways of cataloging and providing access to this material. Maria Oldal said that The J. Pierpont Morgan Library has a number of extra-illustrated books and that they would welcome further suggestions or comments on this issue. The next Cataloging Discussion Group meeting is scheduled for July 28, starting at 3:00 p.m. at the Bobst Library.
