It employs a dynamic and innovative staff of nearly 600 FTE who have the opportunity to work with the highest caliber of faculty and students, participate on committees and are involved in other areas of staff development. A full spectrum of library resources, from rare books and manuscripts to a rapidly expanding network of electronic resources, constitutes one of Yale's distinctive strengths. The Library is engaged in numerous ambitious projects such as the renovation of the main library building, the complete retrospective conversion of the Library's catalog, and various automation projects which include network access to scholarly information and preservation imaging. RESPONSIBILITIES Under the supervision of a senior archivist and in conjunction with the Archives' tercentennial project, is responsible for management of the graphic, moving image, audio, and artifactual holdings of the Yale University Archives and of the Yale Publications Collection. Examines administrative files relating to the provenance of archival materials, reviews pertinent historical literature, analyzes materials to determine content and the appropriate level and type of arrangement and description needed, and develops plans for accomplishing the work, including estimates of resources needed. Responsible for arrangement of material in accordance with approved plans; trains and supervises available support staff and student assistants; screens for potentially sensitive material; weeds extraneous material; recommends appropriate preservation and conservation procedures; and coordinates the copying or reformatting of materials for preservation and access. Prepares an inventory, register, or other finding aid for processed materials, including an administrative history or historical note; scope and content note; and appropriate listing of materials. Supervises the production of the finding aid. Prepares or updates catalog and holdings records for archival materials and Yale publications in accordance with archival and library standards for entry into the RLIN/AMC and local databases. Trains project staff in the selection, evaluation, and description of graphic, moving image, audio, and artifactual holdings. Briefs members of the department on processed collections and their finding aids. Assists in public services functions of the department including: providing reference service to researchers and Yale University offices; preparing bibliographies, instructional materials, and other user support documentation; preparing exhibits; and preparing and conducting bibliographic instruction and other user training programs. Assists in records urveys, negotiation of schedules, and the packing and transport of materials from offices and donors. Participates in the formulation of unit and departmental policy and procedures by assembling information and drafting policy and procedure memoranda, and by making recommendations on proposed policies and procedures. Makes recommendations on personnel selection, staffing requirements, and equipment and supply needs. Participates in Library planning activities and committees and is expected to be professionally active. QUALIFICATIONS Masters degree in history or related discipline and/or MLS from an ALA-accredited library school. Substantive education or experience in the management of graphic materials. Familiarity with automated archival or bibliographic information systems, particularly the RLIN/AMC file, and with description standards for archival materials, particularly the USMARC Format for Archives and Manuscripts Control and Archives, Personal Papers, and Manuscripts. Excellent oral and written communications skills. Demonstrated ability to plan, manage, and coordinate complex projects. Demonstrated ability to work effectively with colleagues, administrators, staff, patrons, and donors. Preferred: Education or experience in the creation and maintenance of bibliographic and holdings records for serial publications. One to two years of archival processing experience. Education or experience in the management of audio or artifactual materials. Reference or collection development experience in an archival setting. Ability to read at least one foreign language. Experience directing the work of others.
