The Architecture Library at Victoria University of Wellington is a part of a
several-site University Library system where the main part pf the library
permits issue of periodicals to postgraduatem students and academic staff.
We,on the other hand, have a policy of not lending our architecture and
design journals but like you have had to make exceptions for people who need
to use facilities which we do not provide within the library. We also were
using an unsatisfactory manual system.
Our solution was reached after discussion with our systems librarian. We use
the Dynix automated system and it has a provision for "fast add" temporary
entries which disappear from the system when the item is returned. When
someone appears with the journal they want issued we stick a date due slip,
with a barcode which isn't tied to any record, into the periodical using
removable adhesive labels. When the barcode is read into the system it
prompts you to create a fast entry with fields for title (where we also
include volume no and date), collection, callmark and issue type. We create
these entries in block caps so they stand out when anyone is doing a title
search. We have our issue period set for overnight as people sometimes need
more than two hours but that could be adjusted to suit. As far as I
understand it, the issue type has been set to disppear once the item has
been checked in, so the sytem is not cluttered with records for journal
issues which have gone out and been returned. Once the item has been
returned and checked in the record disappears from the system, the date due
slip with its barcode is removed from the item and that barcode can later be
re-used for another issue.
