The Business Applications Analyst, based in the Grants Administration department of the Getty Foundation, reports to the Head of Grants Administration, and works both independently and in close collaboration with colleagues across the institution, and with external partners, to ensure that the Getty’s grants management system (GMS) and related business applications and processes, efficiently and effectively support the Getty’s international philanthropic activities.

The Getty GMS, Fluxx, is the primary point of access for individuals and institutions internationally applying for and receiving Getty grants. Fluxx is also critical to grantmaking workflows, legal compliance, communications, documentation, reporting, and payments. The Business Applications Analyst plays a key role in maintaining the functionality and integrity of the GMS; facilitating onboarding and user training; implementing improvements, enhancements, and integrations to meet evolving needs; and supporting team efforts to meet the highest standards and best practice.

The ideal candidate will have strong analytical and information and data management skills; experience administering data management systems, preferably Fluxx or similar cloud-based information management software; knowledge of the principles grantmaking; experience with grants management processes and workflows; and they will also value working collaboratively and will appreciate Getty’s mission to advance and share the world’s visual art and cultural heritage for the benefit of all.

Major Job Responsibilities

  *   Applies in-depth knowledge of cloud-based grants management software (Fluxx or similar information management system) to optimize effective management of grants management systems, processes, and workflows from start to finish
  *   Supports development, maintenance, and upgrading of the Grants Management Software: identifies, recommends, tests, and implements system releases, updates, and enhancements
  *   Provides onboarding training and ongoing support to users at all levels of system engagement
  *   Ensures data integrity by auditing and analyzing data
  *   Supports the development of data standards and user application procedures and documentation
  *   In partnership with Getty Digital, develops business solutions using information technology methods; monitors functionality of interfaces or APIs--PeopleSoft financials, the Getty data repository, the Getty Foundation’s online grants database (www.getty.edu/grants<https://www.getty.edu/grants>) and other system accounts, including DocuSign and Lexis-Nexis Bridger Insight XG
  *   Develops and implements plans to resolve or correct data and system problems; manages business application vendor relationships and technical support requests
  *   Manages information reporting requirements; builds reports independently or in collaboration with Getty Digital
  *   Supports the creation and maintenance of user accounts and regularly reviews and updates security and permission settings
  *   Ability to manage multiple tasks, priorities, and deliverables on deadline
  *   Participates in training, educational, and professional activities, to augment knowledge and hands-on experience in all aspects of grants administration
  *   Develops large professional network that is leveraged in the course of work

Qualifications

  *   Bachelor’s degree
  *   3-5 years business applications experience

Knowledge, Skills and Abilities

  *   Knowledge of Fluxx Grants Management or similar cloud-based information management application
  *   Knowledge of principles and practices of grants management and philanthropy (preferred)
  *   Knowledge of principles and techniques of project management
  *   Ability to manage multiple tasks, priorities and deliverables on deadline
  *   Knowledge of database management and reporting tools
  *   Knowledge of digital document and records management
  *   Knowledge of web content management tools such as HTML, CSS, Liquid code
  *   Advanced knowledge of Microsoft Office suite of business applications
  *   Ability to document the business requirements to be used in the evaluation, development, enhancement, configuration, and/or acquisition of information management systems
  *   Ability to communicate technical issues to non-technical users and train users at all levels of skill
  *   Ability to create and maintain accessible documentation for users at all levels of skill
