Job Summary

The Getty Research Institute seeks a Library Annex Supervisor to oversee the circulation of a growing number of library books and serials (currently over 1,200,000) and other items and coordinate the work of the Circulation staff at the Getty Library off-site Annex facility in Valencia, California, 91355.  The Annex Supervisor is the main site contact coordinating with other Getty Research Institute Library and Getty departments at the Annex. Reporting to the Manager of Circulation (GRI), the Library Annex Supervisor will also work in consultation with the Digital Collection Development Librarian for the Getty Research Portal, assists with the maintenance and coordination of spreadsheets, workflows, materials tracking, and delivery for ongoing book and serials digitization processes.

The Library Annex Supervisor also manages, establishes and maintains communication with a variety of Getty departments regarding Library Annex safety and security issues. The Library Annex Supervisor is a Getty-wide liaison, who disseminates information to other Getty departments regarding Library Annex building-related and security issues to ensure that issues are reported and resolved in a timely manner.

Major Job Responsibilities

  *   Supervises Circulation staff, workstudy, and occasional interns at the Library Annex.
  *   Assists Manager of Circulation (GRI) by performing a variety of operational functions.
  *   Regularly involved in daily operations to meet schedules or resolve complex issues.
  *   Plans, assigns, and evaluates the work of staff members, provides technical expertise to staff, and establishes and/or monitors current methods and policies
  *   Documents performance, provides performance feedback, and formally evaluates the work of employees.
  *   May recommend changes in practices and procedures to increase operating efficiency.
  *   Ensures that projects are completed on time following established procedures and schedules.
  *   Directly supervises and prioritizes work for three full-time employees.
  *   Oversees the implementation of Annex collection vault shifts and moves.
  *   Ensures proper handling, care, storage, preservation, and tracking of collection items and related duties, daily paging, and re-shelving of collection items.
  *   Pages, scans, delivers, shelves, and sorts library materials.
  *   May conduct complex collection maintenance as needed.
  *   Manages shelf-reading and inventory tasks. Works closely with auditors.
  *   Compiles data, analytics, and reporting from the library system about library use and/or users.
  *   Works with Reference and Interlibrary Loan staff to fulfill scan requests.
  *   Tracks locations and circulation status in library systems, creates and updates items records, holdings records, and unique identifiers.
  *   Resolves highly complex problems for staff.
  *   Helps maintain overview of collection growth and storage capacities; evaluates shelf use and capacity, recommends changes and plans for collection shifts in consultation with colleagues.
  *   Assists with developing, revising, reviewing, and documenting policies and procedures.
  *   Serves as deputy in absence of supervisor.
  *   Participates in special projects as assigned.
  *   Provides status updates to manager regarding status of the work

Qualifications

  *   1-2 years of lead or supervisory experience in a relevant operation
  *   Familiarity with at least 1-2 foreign languages
  *   Undergraduate degree in art history or related discipline preferred

  *   Ability to accomplish goals working through formal and informal channels, with diplomacy and tactfulness.
  *   Demonstrated experience working under little supervision and as part of a team.
  *   Ability to direct the work of others for jobs requiring supervision.
  *   Ability to lift boxes up to 40 pounds and to push heavy book trucks.
  *   Frequently move and climb industrial ladders.
