Position Summary

The Clark Art Institute seeks to fill the position of Archivist and Records Manager (ARM). The ARM will report to Director of the Library and will be responsible for Institutional Archives and to the delivery of a comprehensive, best practice-based Electronic Records Management Program for the Institute. The ARM will work with Institute staff to manage transfers of Institutional records to the Archives. The ARM will work closely with the managers across departments across campus, including Information Technology and the Institute’s Director’s office.

Major Duties and Responsibilities (Essential Functions)

  *   Review records retention plans for each functional area of Institute; revise as necessary to include born-digital records and digitized records
  *   Recommend workflows and systems to manage electronic records and email.
  *   Coordinate transfer, retrieval, & destruction services for Institute records, managing records metadata and creating an audit trail to document the movement of Institutional records through their lifecycle
  *   Create & deliver training to Institute employees in all areas of administrative records management, including: identifying & applying record retention requirements; electronic records management; file storage management; file naming/filing strategy; and records storage and retrieval
  *   Meet regularly with the Director to discuss institutional archival and records management goals
  *   Other duties as assigned

Minimum Qualifications

Education, Training, and Skills

  *   ALA-accredited Master’s Degree in Library Science or Information Science, with an emphasis in Archives and Records Management
  *   Familiarity with current records management standards & best practices
  *   Experience managing records within file storage management systems
  *   Ability to manage multiple priorities and tasks and to work effectively, both independently & collaboratively, in a dynamic environment
  *   Excellent interpersonal, problem-solving, organizational, written, & oral communication skills, with a positive customer service orientation
  *   Demonstrated initiative, flexibility, and a commitment to professional engagement & continuous learning, including learning new technologies
  *   Commitment to diversity, equity, & inclusion and the needs of serving a diverse population
  *   Certified Records Manager preferred
  *   Experience training others in a professional setting preferred
  *   Familiarity with CONTENTdm, ArchivesSpace, MS SharePoint, Google Drive, TMS, MS One Drive, & departmental shared drives preferred

Work Experience

At least 5 years of archives and records management experience
