Greetings Colleagues,

 

I just had a meeting with an admin assistant to our adjacent museum who is interested in updating the museum’s internal catalog for the collection of books they hold in their offices. These books are largely exhibition catalogs, monographs on artists, etc. There is an old Microsoft Access database someone put together years ago that has not been updated since that person left, and they do have a cataloging system in place that involves color coding and an instruction sheet of how to go about finding items on their office shelves (which again has not been updated in a very long time – anything new since that person left has not been processed this way).

 

My question to the ARLIS community is: do you have recommendations for a situation like this? Recommendations might look like new, cloud based databases that might be able to import the records they already have in Access (almost 3,000) that don’t cost a ton of money and could help provide better access to their exhibitions team. Or if you have a recommendation for a system that is better than color coding by book type, that might be helpful. I’m very interested in what those of you who have worked with internal, non-circulating items that are also not part of the library’s collection (and therefore not available for discovering through the ILS) have done to create a streamlined process for discovery and access.
