Hi Ann,

 

This makes me think of Scripts (television and film) that are donated to archives by writers, actors, producers, directors, etc. Most often the studio or production company has stamped them or typewritten on the actual script “Property of” so-and-so “Please return to” company name and even “Confidential”. Maybe some archivists of performing arts collections can speak to the specifics of how they handle these materials. When I was a student I processed a couple of archival collections containing such materials. I know these were eventually made available for research purposes, but not sure about specific access policies.

 

Maybe this is analogous to your situation.

It almost sounds as if it is a review copy, sent out in advance of publication to editors or reviewers.  I would question the donor further about this possibility.  If true, the final, published edition would be the better copy to have in the library.

I agree that the intended meaning of "private use" is unclear and I wonder if it would be appropriate to contact the publisher.

Others may have actual experience with this type of donation (we've never had such), but it would seem to me that donating to a library would contradict any desire to limit use to "private use only."  What purpose did the donor have in mind in making the donation if the catalog wasn't going to be available to library users, and what exactly does the donor mean by "private use"?  To me "may not be copied or distributed without permission" does not disallow use within the library of the catalog.  To me it means that the catalog, in part or in whole, cannot be copied and those copies distributed, or the catalog lent on ILL.

 

I'll be curious to hear what others think.

We are obviously hesitant to catalog this because of its multiple indications that the work was intended "for private use only" and "may not be copied or distributed without permission." 

 

Does anyone have insight into donations of books like this? Feedback of any kind would be much appreciated!
