Hi Meghan & all,
The Smithsonian is a bigger beast, but they make all of their documentation available to anyone, including retention schedules, etc.:
https://siarchives.si.edu/what-we-do/records-management Much of the exhibition loan paperwork is considered permanent, though they are embargoed for a period of 15 years.
At my art library, we created a cheat sheet for our curators a few years ago to help guide them in what to keep, if it is useful for you to see as well.

Subject: [ARLIS-L] Exhibition records retention policies
Dear Colleagues,
We are preparing to process the exhibition records of the Grolier Club as part of our institutional records collection. I would like to create a records retention policy for things like loan paperwork, correspondence, etc. I am particularly
concerned that we are following all legal requirements.
I would be helpful to see how other institutions have managed this. If anyone would be willing to share their exhibition records retention policy with me, I would be most grateful.
Thank you,
Meghan
