Hi Meghan & all, The Smithsonian is a bigger beast, but they make all of their documentation available to anyone, including retention schedules, etc.: https://siarchives.si.edu/what-we-do/records-management Much of the exhibition loan paperwork is considered permanent, though they are embargoed for a period of 15 years. At my art library, we created a cheat sheet for our curators a few years ago to help guide them in what to keep, if it is useful for you to see as well. ~Anne Anne Evenhaugen Librarian, Head Smithsonian American Art and Portrait Gallery Library 202.633.8227 [log in to unmask]<mailto:[log in to unmask]> http://library.si.edu/libraries/aapg [SmithsonianLibraries2_Logo]<https://library.si.edu/> From: ARLIS/NA List <[log in to unmask]> On Behalf Of Meghan Constantinou Sent: Wednesday, October 10, 2018 11:22 AM To: [log in to unmask] Subject: [ARLIS-L] Exhibition records retention policies Dear Colleagues, We are preparing to process the exhibition records of the Grolier Club as part of our institutional records collection. I would like to create a records retention policy for things like loan paperwork, correspondence, etc. I am particularly concerned that we are following all legal requirements. I would be helpful to see how other institutions have managed this. If anyone would be willing to share their exhibition records retention policy with me, I would be most grateful.
