Dear colleagues,

I am just sending a reminder that the deadline for application to serve on the Documentation Committee is this Friday.
The ARLIS/NA Executive Board invites applications for roles on the newly formed Documentation Committee.  The committee members are appointed/reappointed by the Vice President/President Elect in consultation with the Chair of the Documentation Committee (the immediate past Secretary of the Executive Board), and will serve for a term of two years.
The open positions are Archival & Records Coordinator, Oral History Coordinator and Member at Large.
To apply for one of these open positions, submit a letter of interest specifying the position in which you are interested and résumé in electronic format to Eric Wolf, Chair of the Documentation Committee, by Friday, July 10, 2015.
This newly constituted committee was approved in the last update of the Policy Manual; here are it's charge and constituent positions:
Documentation Committee

CHARGE: The Documentation Committee will oversee the policies and procedures for maintaining ARLIS/NA records including: maintenance of the ARLIS/NA Policy Manual, creation of oral histories, and development and oversight of ARLIS/NA electronic records management program.

Documentation Committee Chair (ARLIS/NA Past Secretary)
Term: two years
Responsibilities include:

  *   Leads and coordinates the efforts of the ARLIS/NA Documentation Committee in consultation with the committee's liaison to the Executive Board (current ARLIS/NA Secretary).
  *   Convenes the meeting of the ARLIS/NA Documentation Committee at the annual conference, at least one mid-year meeting, and others as needed.
  *   Oversees project planning for the committee.
  *   Ensures that ARLIS/NA records, including oral histories and transcripts, are collected and deposited with the archives at the University of Illinois at Urbana Champaign.
  *   Coordinates updates to ARLIS/NA Policy Manual.

  *   Working closely with the current ARLIS/NA Secretary and other Executive Board members, establishes and maintains a schedule of updates according to guidelines established in the ARLIS/NA Policy Manual.
  *   Disseminates information about updates to guiding documents to ARLIS/NA membership via the listserv and AWS.

Archival & Records Coordinator
Term: two years, renewable
Responsibilities include:

  *   Oversees the acquisition and appraisal of records and liaises with archival staff at the University of Illinois at Urbana Champaign where ARLIS/NA records are deposited to ensure that all records which fall into the major record group categories are deposited (ARLIS/NA POLICY NO.: A-3).
  *   Develops and implements processes and policies for the retention and acquisition of ARLIS/NA records and, when appropriate, will solicit and acquire appropriate collections of ARLIS/NA records.
  *   In consultation with the Executive Board, develops and implements an electronic records management program, including processes and policies for the retention of ARLIS/NA electronic records.
  *   Develops records schedules in consultation with records creators.
  *   Coordinates the collection of records with ARLIS/NA Executive Director and conducts regular outreach to ARLIS/NA leaders on the retention and acquisition of records, including born-digital and electronic records that relate to the history of ARLIS/NA, and as outlined by the records retention schedule.
  *   Refers questions to the ARLIS/NA archives at the University of Illinois at Urbana Champaign.

Oral History Coordinator
Term: two years, renewable
Responsibilities include:

  *   Oversees and implements the ARLIS/NA Oral History Program that includes recording interviews with recipients of the Distinguished Service Award and other ARLIS/NA leaders.
  *   Develops and implements policies and procedures for the creation of ARLIS/NA oral histories that are in line with current oral history best practices.
  *   Leads the selection of the individual(s) to be interviewed, secures appropriate interviewer(s), and aids interviewers in locating the appropriate equipment for conducting interviews.
  *   May form a sub-committee to implement oral history projects.
  *   Coordinates post-interview communications with interviewees and delivers draft transcripts for their review.
  *   Coordinates the processing, post-production, and organization of oral history recordings.
  *   Oversees the transcription process that includes locating volunteers and serving as final editor for all transcripts.
  *   Manages the final deposit of recordings and transcripts with the ARLIS/NA archives at the University of Illinois at Urbana Champaign.

Members at large
Term: two years, renewable
Responsibilities include:

ˇ         Works with Documentation Committee chair and coordinators to accomplish the charge and implementation of tasks as defined for each area of activity: guiding documents, archival and electronic records management, and oral history.
