Thank you for your comments. I am sincerely hoping we can get a discussion of this important topic of cataloging artist books started. Here are two other fields that folks have requested off list:

-Reproduction Process
-Illustration Process  

Those two are easy and I will add them to the fields. Your "Permissions" field is one that I have to contemplate a bit and am hoping someone else on this list can talk about a bit more. Below is the text that I use for my own books that I make:

"Institutions who purchase this book are hereby granted the right to reproduce photographs of this book in publications in print and/or digital form, including the institution web site. The book may also be used in exhibitions, talks or lectures. All of the above permissions are granted for non-commercial, educational used only and full artist credits are requested."

For my own work I would not hesitate to put this on my web site or any others. However, I'm not sure if all of my artists would feel safe about having this language on a wide open web store such as mine. I can see some concerns about misuse by the non-institutional public and copyright infringement and wondered if that shouldn't be handled on a case-by-case basis.

One thing I have been doing over the last couple of years is encouraging my new artists to create a "Book Information Sheet" that details all of the fields I've listed below plus included that artist statement and biography. I've asked artists to include a hard copy of this form with each copy of the book. Ideally, this sheet will travel with the book and provide all of the cataloging data. I also recommend that the artist include the permissions paragraph above on the information sheet. I'm wondering if this might be a safer place for this type of permissions language rather than having it on the web for the whole wide world to see.

On a side note: I talk about this information sheet extensively in my Marketing 101 for Book Artists lecture and I have a PDF that explains what this sheet is and how an artist can create their own. I'd be happy to send this PDF to anyone who requests it.

What else, folks? Your feedback on "permissions" and on other needed data fields is very much appreciated.

Full disclosure, I am not a cataloger!
A permissions field/statement (allowing not-for-profit use of images of the work) would be a great addition so that the institution that is collecting the work could publicize it and the artist on their site, in exhibition catalogs, etc. Thinking educational use situation. I know some librarians are already getting this approval upon acquisition.

Cataloging fields and artist/dealer input about them is something that has been a discussion topic in ARLIS for a while (so I am told). I am only in my second year as the chair of the ARLIS Book Arts Special Interest Group and we have begun to talk about this and sketch out some ideas for a form (online or in print) that an artist or dealer could complete at the time of acquisition so that valuable information about the book is not lost if it were to go to an inexperienced cataloger, in the backlog, etc.

The Book Arts SIG is scheduled to meet on Sunday, 6:30pm 1 April in the Sheraton, room TBD. It would be great to have you there to speak about your project and get feedback from the other attendees. All interested in this topic are welcome of course. I will send out details about the SIG closer to the conference.

We are in the process of developing a new web site for the artist books we
carry in inventory here at 23 Sandy Gallery. I am writing to ask for your
feedback regarding the cataloging data that you need for the books you
purchase for your collections.



For all new books and broadsides that we add to the web site we are asking
our artists to provide the following information to populate the
“Additional Information” fields that we’ve built into our web site. These
fields are in addition to the artist’s statement about the work and the
artist’s biography. The fields are:
