Minutes of Meeting

Updating the ADSL Website

Last year we discussed updating the website.  John Bowman volunteered.
Annette, Kathy and John discussed it over email but no final decisions were
made.  The conclusion was that the website should be the focus of a task
force.  Anyone interested in working on the website should contact the
moderators.  It was suggested that a survey might be helpful in
understanding what the division should put on the website.

 

It was mentioned that ARLIS HQ is developing website templates for chapters
ˇV this might eventually extend to interest groups and divisions.

 

Division News 

News contributer Eli Nacheman ([log in to unmask]) could not attend the
meeting but asked members to send her news routinely as things happen.
(grants, gifts, renovations, position changes, promotion, acquisitions,
etc.)

 

Looking to the Future

Co-moderator Kathy Ritter who could not attend the meeting, suggested via
email a session or discussion on BI planning for those schools w/ adjunct
faculty.  She also suggested a survey of the quality and quantity of
collections and collecting policy/budget that Art and Design Schools have in
relation to the resources that liberal arts schools with art departments
have and how this effects teaching BI, reference service and visitation.  If
the group would like to assist, she would volunteer her time to put the
survey together and if someone has already done this she would be interested
in their results.

 

There was also a small discussion of whether or not ADSL should have its own
listserv.  It was decided that ADSL should not have its own listserv, but
that all communication to the listserv should have ADSL in its subject line.

 

Moira Steven would like input on possible image collections on jewelry,
furniture, textiles that she can forward onto ArtStor so that they might
grow their collections in areas that would be useful to librarians in ADSL.

 

Annette proposed a Mixer Event to which initial response was positive.
Apparently, there used to be an event at each ARLIS where all ADSL
librarians would visit a local art school/library. There was also discussion
of holding our own workshop to allow socialization.

 

ADSL Members at the Conference

Many members of ADSL were active participants in the conference as planners,
presenters, moderators, etc.

 

Response to the Assessment Task Force

As all groups were charged to discuss the Assessment, Annette read out
Arlis/NA strategic goals and reported on the recommendations from the task
force:

ˇE      Removal of ˇ§divisionˇ¨ and ˇ§sectionˇ¨ and ˇ§roundtablesˇ¨ hierarchy and
make everything an ˇ§interest groupˇ¨

ˇE      groups could arise spontaneously w/o too much hassle

ˇE      groups would be required to post a notice of existence on Arlis-L and
Arlis/NA website 

ˇE      annual report to board not required ˇV only if funding or board needs
to really be notified

ˇE      ARLIS will provide server space for group communication

 

Discussion: 

ˇE      Divisions serve a specific purpose

ˇE      networking 

ˇE      community 

ˇE      operationally cohesive

ˇE      commonalities because ADSL schools give us an ˇ§identityˇ¨

ˇE      not topic or subject based as in roundtables and interest groups

ˇE      saying that you are attending a ˇ§divisionˇ¨ could help gain support
from administration for funding

ˇE      there could be interest groups w/in a division

ˇE      divisions meet and you know itˇ¦s going to be interesting

ˇE      Heirarchy has its value

ˇE       ˇ§interest groupˇ¨ nomenclature has a weakness

ˇE      Arlis/NA needs to find a better name perhaps for these ˇ§special
interest groupsˇ¨

ˇE      if we do break into smaller groups it might be too many things but if
they are ˇ§breakoutˇ¨ groups maybe it is more manageable

ˇE      if everything is an ˇ§interest groupˇ¨ ˇV how will scheduling work

ˇE      every group might have to self-schedule meeting times ˇV but this is
not clear 

ˇE      there will definitely still be overlap for people

ˇE      having the focus of a group to be the proposing of a session did give
divisions a solid goal

ˇE      New members come into Arlis w/ no idea of the structure of the
organization and what the options are and who to contact ˇV Membership
Committee is working towards having something.

 

Visit from Deborah Ultan-Boudowyns (incoming president) and Tom Soehner (VP
ˇV President Elect) 

 

Questions for Ken and his responses:

ˇE      Scheduling. How will this work?

ˇE      Currently there are 40+ units that need scheduling

ˇE      It is not decided under the new system because  no one can predict
what number of groups the reorganization will result in

ˇE      less tightly structured groups might result in cross-unit meetings
and breaking down of boundaries

ˇE      We still find value in the identity of our division group ˇV how will
such things be retained?

ˇE      Hopefully new communication means will allow more flexibility in how
people meet and how organizational meetings are run.  Thus, face to face
meetings will have more rich content and be more effective.

ˇE      When will this communication tool be available?

ˇE      Membership database in effect in next 3 months w/ continuous rollout
of communication tools will follow.

ˇE      ˇ§Interest Groupˇ¨ or Clique nomenclature

ˇE      definitely a valid concern, maybe ˇ§programˇ¨  would be better

ˇE      Should we vote on this or just provide points of concern?

ˇE      consensus on certain points would be nice

ˇE      brainstorm with a nuanced response is best

ˇE      Intention is to make the organization more nimble, flexible,
less-structured organization w/ more interaction b/n groups

ˇE      Carol: w/o deadlines and structure it is a challenge to get things
done by people who already have full time jobs

ˇE      Sara: cross-pollination does occur already

ˇE      Is there talk of doing away w/ roundtables and interest groups and
NOT divisions? 

ˇE      good question and idea ˇV please forward this idea

ˇE      Does the board see these new groups as self defining? are we here to
create programs for new conferences or something else?

ˇE      Itˇ¦s member driven

ˇE      perhaps the new structure will facilitate more than annual
communication ˇ÷ ongoing throughout the year or at least the administrative
stuff online before the conference

 

ADSL Division Recommendations

ˇE      ADSL would like to remain a group ˇV possibly as a division w/o an
annual report.

ˇE      ADSL will communicate with each other and others who may be
interested via the ARLIS-L listserv and other tools provided by ARLISNA.

ˇE      ADSL would like ARLIS/NA to explore the idea of doing away with
roundtables and interest groups and NOT divisions.

ˇE      ADSL members would like to stress that proposed ˇ§interest groupˇ¨
nomenclature has a weakness particularly for librarians who need to justify
attendance to institution to garner funding for attending ARLIS NA
conference and membership.
