NATIONAL MUSEUM OF WOMEN IN THE ARTS POSITION ANNOUNCEMENT Position: Library Assistant FLSA: Non-exempt Department: Library and Research Center Supervisor: Director of Library and Research Center Position Summary The Library Assistant provides administrative support to the Director and staff of the Library and Research Center. This includes, but is not limited to, ordering and processing library materials, assisting museum staff and library users, preparing correspondence and other written materials, and assisting with the Library Fellows program. The Library Assistant also may be expected to help with exhibition and Archives related activities as needed. The Library Assistant works closely with individual members of the staff and assists with the training and supervision of interns and volunteers. Principal Responsibilities * Types correspondence, memoranda, reports, grant proposals and a variety of library materials. Writes form and original letters to donors and artists and assists the Library Director with correspondence. * Manages periodical subscriptions. * Assists the Library Director with the Library Fellows program. Responsibilities of this project include, but are not limited to, preparing for the Library Fellows meeting, including mailing invitations/correspondence to Fellows, organizing a slide presentation, transcribing the minutes of the meeting and returning works/proposals to artists. * Processes newly acquired books by printing and attaching bookplates and spine labels and constructing book jacket protectors. * Oversees circulation of books; shelves new and returned books. * Maintains notebook and catalog cards for artists' books; orders archival boxes for artists' books. * Monitors usage of office supplies and orders new supplies when necessary. * Assists Library Director with purchase of library books, resolves problems with orders and receives books in ILS (Integrated Library System). * Sorts and distributes incoming mail and prepares outgoing correspondence for mailing. * Assists with Library exhibitions when needed. * Assists staff members and Library visitors. Answers general and research questions when needed. * Performs other duties as assigned. Position Qualifications Bachelor=s degree, as well as strong oral and written communication skills, and excellent organizational skills and attention to detail are required. General knowledge of art history and prior experience with computer systems, especially word processing and database programs and automated library systems are preferred. Reading knowledge of at least one foreign language is a plus.
