Greetings!
It is that time of the year to begin thinking about the upcoming conference
and the manner in which we capture the pertinent information from the
conference… the conference proceedings.  If you are the moderator of a
panel, plenary or askArlis session you need to find a recorder and have the
follow the enclosed guidelines.  Ditto if you are the moderator or chair of
a division, section, roundtable or committee.  Who does not need to submit a
conference report: if you do not fall under the categories list below, you
do not need to submit anything.

All reports should be in either MicrosoftWord or ascii text, attached to an
email and sent to me via email.  When identifying someone to write up the
report PLEASE make sure they will be able to actually follow the
instructions for getting the reports to either yourself or me.  The deadline
for reports is May 15, 2001.

-------Guidelines---------

All Panel, AskArlis, and Plenary sessions should have a person who is
responsible for recording the session.  The moderator(s) of each session are
responsible for ensuring that someone has been identified to record the
session prior to the beginning of the annual conference, if possible.

Conference reports should include the following information:
Session moderator(s)
Session sponsor(s)
Name and date (not day) of session
Speakers and their institutions or affiliations
A summary of each speaker’s presentation and the URL’s for any web sites
given
A summary of the question and answer session

Moderators/Chairs of Divisions, Sections, Roundtables and Committees are
responsible for ensuring that the minutes from their annual business
meetings are forwarded to the conference proceedings editor. These
moderators are also responsible for ensuring that someone has been
identified to record the minutes.

Minutes from business meetings should include the following information:
Name and date of the DSRT or Committee meeting
Names of officers, outgoing and incoming
Discussion of old and new business and any resultant decisions.
