----------------------------Original message----------------------------
The head of my department was recently contacted by a representative of the
Flintridge Foundation regarding their biennial publication of "Visual
Artists Awards," which began with the 1997/1998 issue. The representative
is concerned that the 12 artists given awards are not getting sufficient
exposure in the catalog record, and she has asked what can be done about this.

I don't have the piece in hand. Searches revealed:
In OCLC, the only record is the LC-authenticated CONSER serial record (OCLC
#39933434). In RLIN, there is the same serial record, and a cluster of
monograph records headed by CASXAKY9589-B. Some of the records have a 500
note listing the 12 artists and some don't. The serial record, of course,
doesn't list any artists, and never will.

The representative from the foundation has asked if there is a way
typographically to make the artists' names of such importance that they
must be included in the title. Of course, the problem is that there are 12
of them. If there were only 3, no problem! I've explained, briefly, the
"rule of 3" to the representative, but I wanted to toss this issue out for
discussion, since it's a recurring problem with exhibition catalogs as
well: what's the best way of providing access to these artists in the
catalog record? *Is* it crucial to provide that access via the catalog
record?

My questions are: Do you ever include all the artists' names as part of the
title, even if there are more than 3?
How many is "too many"?
Does it make a difference how many you include if the names are title
proper (245 $a) or subtitle (245 $b) information?
If you don't list them in the title, do you provide a note with this
information, and is that note keyword searchable in your catalog?
Do you ever trace all the artists in 600s/700s?
Do your answers to these questions depend on:
* time/productivity constraints
* perceived importance of the artists
* availability of cataloging copy
or some other factor?

Lastly, have other libraries been contacted by the Flintridge Foundation
about this publication, so the representative is just shopping around for
2nd opinions?

Replies can be sent directly to me, unless there is food for significant
discussion. I'm happy to summarize for the list.
